This policy explains how Need-X.com ("Need-X," "we," "us") collects, uses, and protects information when a business or its authorized users interact with our B2B procurement platform, including the catalog, RFQ, ordering, supplier, and invoicing modules.

2. Information we collect

• Business account data — legal name, tax registration identifiers (e.g. GSTIN, VAT number, EIN), billing and shipping addresses, and credit terms provided when a business registers.
• User data — names, work email addresses, and role assignments for individuals your business authorizes to act on the platform.
• Transaction data — RFQs, quotes, orders, fulfillment records, and invoices generated through the platform.
• Usage data — log and diagnostic data (timestamps, IP address, actions taken) used for security monitoring and service reliability.

3. How we use this information

We use collected data to operate the platform (resolving pricing, routing orders to suppliers, generating compliant invoices), to maintain security and prevent misuse, to provide support, and to meet legal and tax record-keeping obligations in the countries our merchants and buyers operate in.

4. Data isolation between businesses

Need-X.com is a multi-tenant platform: data belonging to your business is scoped at the database level so it is never returned in a query made on behalf of another business, including competitors who may share the same underlying infrastructure.

5. Sharing information

We share order and fulfillment details with the suppliers assigned to that order, and tax- relevant invoice details with the counterparties on that invoice, because the transaction requires it. We do not sell business or user data to third parties.

6. Data retention

We retain invoices and transaction records for the period required by applicable tax law in the relevant jurisdiction (for example, India's GST record-keeping requirements), and account data for as long as the business account remains active plus a reasonable period afterward for legal and audit purposes.

7. Your rights

Depending on where your business is registered, you may have rights to access, correct, or request deletion of certain data we hold, subject to our tax and legal record-keeping obligations. Contact privacy@need-x.com to make a request.
